Before a recruiter ever reads your resume, software usually reads it first. Applicant Tracking Systems (ATS) scan, parse, and rank resumes — and if yours is formatted poorly, it can be rejected automatically no matter how qualified you are. The good news: making your resume ATS-friendly is mostly about following a few simple rules.
Use a clean, single-column layout
Fancy graphics, tables, text boxes, and multi-column designs confuse many parsers. A clean single-column layout with standard fonts (Arial, Helvetica, Georgia) is the safest choice. Decorative icons and photos add risk without adding value for the software.
Use standard section headings
ATS software looks for familiar headings: Summary, Work Experience, Education, Skills, Certifications. Creative titles like "My Journey" or "What I Bring" may not be recognized, which means entire sections of your resume can be skipped.
Mirror keywords from the job description
Every job ad contains the exact keywords the ATS is told to look for — tools, skills, job titles, and qualifications. Read the description carefully and naturally include the matching terms in your skills section and experience bullets. Do not stuff keywords; recruiters read the resume after the software does.
Start bullets with action verbs and add numbers
Strong bullets follow a simple formula: action verb + what you did + measurable result. For example: "Reduced report processing time by 40% by automating data entry workflows in Excel." Numbers make achievements concrete and help you stand out in both automated ranking and human review.
Keep dates and formats consistent
Use one date format everywhere (for example "Jan 2022 – Present"). Inconsistent dates can break parsing and make your work history look shorter than it is.
Export as PDF — the right way
